Duties of your on-site event planner/ event coordinator

Believe it or not, most brides do not really know what that difference is between an on-site


coordinator and a wedding planner.  You would not believe how many times I have heard over the years, “I, have a venue with a coordinator, I do not need your day of services, just décor work.” About a month before the wedding, the bride discovers that the on-site coordinator only cares about the menu selection, the bar package she’s chosen and  what time she’s planning to walk down the aisle, when she wants the cocktail hour to start and when he food should be set for dinner.  At which point, the bride calls me and says, “Jennifer, (Jennifer Lane Events in Denver Colorado) Do you still have availability on my wedding day to do day of services?  I need a professional to help me with the timeline, the floor plan, confirm that my vendors know what is happening and when, handle all of the details, the set up, keep me calm and get me down the aisle, and then handle the details and clean up at the end of the night.  Plus I need it to be someone I trust and already understands me.”


Sometimes at this late date, we have a small team who can handle all of that, however, getting this service booked months in advance ensures that you have the right professional who understands you and really has time to become a fully integrated part of your team.  If you’re on a tight budget, at the minimum I would suggest that you have a day of coordinator to at least handle the set-up, vendor arrival, and the main events of the day.  You can have friends and family help with the clean-up of the event space and getting your gifts to your car.   Believe it or not it is not the job of your DJ or your caterer to assist you in getting down the aisle or running the events of the day.
